For an agency, choosing a supplier to manufacture promotional objects can determine whether an activation runs smoothly. Ask technical questions early, especially when the item is new, the run is relatively small and the event date cannot move.
1. How will you check quality in a short run?
A run of 100, 500 or 1,000 units may involve a process that has never been used for this exact object. Ask the supplier which characteristics they will check at the prototype stage, during assembly and before dispatch. A useful answer identifies checkpoints specific to your product, not simply a generic inspection policy.
2. What happens if a component fails or a material is delayed?
No production plan eliminates every risk. Discuss realistic alternatives while there is still time: an approved substitute material, another workshop, a simpler finish or a revised assembly process. Clarify who decides and when the agency will be informed.
3. Until when can the design change?
Late adjustments to logos, colors or copy are common in BTL projects. Ask for the last feasible date for each kind of change, its cost and its effect on the schedule. A clear approval calendar protects both the agency and the manufacturer.
4. Can the project be delivered in stages?
A campaign may need one quantity for launch, another for branches and a later shipment for a sales team. Confirm storage, partial deliveries, packing formats and responsibility for logistics rather than assuming the entire run will arrive at one address at one time.
5. How will the supplier communicate progress?
Agree on a contact person, update frequency, approval milestones and a way to flag delays immediately. Visual progress evidence and clear technical documentation make it easier to spot a problem before it reaches the event site.
Before selecting a supplier, document the proposed quality checks, contingency plan, design freeze dates, delivery schedule and responsibilities. This turns a promising quote into a production plan you can manage.
